Job Description


Broad Functions

Based in Batu Kawan, Penang

  • Provide global mobility-related expertise to HR, business units, vendors, employee and stakeholders for the Malaysia and APAC region (and geographies defined by the Company).
  • Responsible to plan, coordinate and liaise with third party vendors and internal HR/Business counterpart for international assignment, relocation, work authorization and any immigration/ global mobility related tasks for APAC regions (including all geographies) during the assignment/transfer period.
  • Responsible to plan, coordinate and liaise with government department for Fomema Medical Examination, Passport Renewal (Embassy), Work Permit renewal and Work Permit cancellation for non- Malaysian Citizen working in SanDisk Penang and Media Operation Penang and other related matters with Malaysian Authorities.
  • Provide global mobility-related expertise to HR Partners, Staffing Partners, HR team members and business units
  • Assist with the range of administration and consultation support and be flexible of any changes of the job function due to demands of the business need.


  • To oversea and ensure all legal documentations related to International Assignee, Expats, Local Plus Employees and DL Foreign Workers are in place at the right time.
  • Assist and guide third party vendors based on internal policies and processes as well as overseeing all administrative works pertaining to the work authorization initiation/ renewal/ cancellation process are being processed per needed timeline
  • Supervise / monitor third party vendors / outsources to coordinate with the employee’s supervisor, transport arrangement, passport preparation and all administrative works pertaining to the passport renewal process and Fomema medical examination process.
  • Coordinate within house finance department to prepare the bank guarantee, bank draft and all related fees payment for work permit renewal process, passport renewal process and medical examination process.
  • Supervise / monitor third party vendors / outsources to coordinate with the employee’s supervisor, transport arrangement, passport preparation and all administrative works pertaining to the passport renewal process and Fomema medical examination process.
  • Support other HR activities such as plant wide communication sessions, new system launches etc.
  • Outstation interview to support TA whenever is needed.
  • Ensuring Global Mobility Manager are properly updated on the status of all activity impacting their areas of responsibilities or regions.
  • Initiate relocation and immigration services with third party vendors as well as communicate to employee on introducing the vendor
  • Liaise with counterparts to complete any supporting documents administration (i.e. leases, visa submission) in a timely manner.
  • Be center point of coordination or contact and support with employee and business correspondence and activities throughout the assignment/relocation life cycle
  • Maintain tracker to ensure all cases are up-to-date and on track and provide update or follow-up with relevant counterparts/third party vendors for further action as necessary
  • Properly organize and maintain all files, records, and correspondence relating to mobility matters (includes documents of a routine and confidential nature).
  • Assist with administrative support and invoicing supporting, if needed.
  • Support other HR activities such as communication sessions, new system launch etc.
  • Ensure Global Mobility Leads are properly updated on the status of all activity impacting their areas of responsibilities or regions
  • Work closely with Global Mobility Supervisors and any reporting lines and discuss any issues and/or matters needing escalation for further consultation
  • Have a very good understanding of the Global Mobility policies, processes, roles and responsibility, and help to promote and educate staff on global mobility throughout the company
  • Partner with team members on projects, as needed
  • Demonstrate ability to work with teams in a contributor role with remote team members and outsourcing partners.


Educational Required :

  • Candidate must possess a Bachelor Degree preferably in HR but not limited to in any field

Skill Required

  • Progressive knowledge of immigration process, regulations, and compliance
  • Excellent interpersonal skills, written and verbal communication English. Chinese (Mandarin) and Japanese skills is an added plus.
  • Ability to work independently with limited supervision, handle under demands with the deadlines, to identify issues and potential resolutions quickly and raise issues needing escalation to Manager/Supervisor
  • Able to interact with all level of employees and work well in a team environment across cultures and regions.
  • Problem solver, resourceful, self-directed, detail orientated
  • Ability to report to multiple reporting lines.
  • Have a keen interest in HR Mobility field.
  • Can be relied upon to persevere and can be trusted upon on highly confidential issues / matters.
  • Knowledge in Information Technology and/or experience with Workday will be an added advantage.

Experience Required

  • 2-4 years’ experience in a similar capacity in global HR environment.
  • Minimum 1 year experience in similar capacity in working with immigration, relocation and/or international assignees (e.g., working with Malaysia Authorities)
  • Have a keen interest in HR Mobility and Immigration field
